(last updated 2019.5.15.a)
At this time (2018.2.22) streaming video is from individual sites (such as PBS) and from the following vendors:
- kanopy
- Alexander Street
- PBS and other free vendors
VITAL OVERLAY NOTE for 001 fields
Remove all prefixes to the OCLC number in MARCEdit BEFORE loading. The overlay function will not work with "ocm" "ocn" "on" "ebr" or other prefixes!
Alexander Street vendor downloads
Ebsco Discovery Service at this time (2018.2.22) does NOT handle these properly.
- NO links to the video, just a useless and inappropriate "request via interlibrary loan" which wouldn't work anyway.
- multiple copies of the same record
Therefore, these are NOT automatically updated using EDS. They are uploaded from catalog records instead, so the links are available and duplication is minimized.
Alexander Street is now using OCLC numbers in the 001.
Many of the Alexander Street downloads from OCLC may NOT be streaming videos, but older formats NOT updated in the 300 field. These will need to be edited to appear as streaming videorecordings: =300 \\$a1 online resource (1 video file (60 min.)).
UNTIL this is done to incoming videos, they cannot appear in the catalog or be sent to update EDS.
ALL vendor downloads
Generating fields
Generating an 092 if NOT overlaying
IMPORTANT: First, remove any |aB or |a[B] from the 082 fields!
*** BE SURE TO INSERT INTO THE 092 field! ***
>> Note that first record in batch may not be done in this process and need manual editing, perhaps only to change created 082 to 092.
>> Note that Dewey is taken from source other than this record and therefore may be created without an existing 082.
>> If NOT overlaying: use the Tools (top bar) to generate an 092 field for Dewey. Be sure to place in the 092 field! May not work properly on first record, or on records with malformed 082 -- check those later in Sierra.
Generating a 541 field
>> Enter a 541 note that says \\$a[vendor] $cFYyyyy av $fYYYYMMDD
This allows creating a featured list for new records this fiscal year.
It is VERY IMPORTANT to have the date in the |f subfield, as this is used to select for weekly EDS updating later.
example: \\$aalexanderstreet$cFY2019 av$f20190328
SPECIAL NOTE: for any material NOT acquired through a subscription but instead purchased specifically, add PURCHASED to the end of the OCLC number to avoid overlays, and add to the 856 field |xPURCHASED INDIVIDUALLY and be sure to exclude any of these when deleting.
Generating a 583 field
>> add a 583 note with the \\ and $aYYMMDDdv for use in the processing.
example: \\$a190328dv
Generating a 949 field
For Alexander Street downloads:
>> If NOT overlaying, add (a) (Last!) a 949 \\$a*recs=b;ov= ;b1=d;b2=f;b3=o;bn=wwwa; until edited for correct format.
>> If overlaying, add (a) (Last!) a 949 \\$a*recs=b;ov=o;b1=d;b2=f;b3=o;bn=wwwa;
For other downloads to be active immediately:
>> If NOT overlaying, add (a) (Last!) a 949 \\$a*recs=b;ov= ;b1=d;b2=f;b3=i;bn=wwwa;
These include d for AV media and f for streaming videorecording. The location is still the web, but the BType is d for Media.
Editing in Sierra:
Alexander Street incorrect records
Create separate lists of online resource videos, which can be activated immediately, and one of the rest, which remain hidden until changes are made.
- 300 field with "1 videocassette (xx min)" and perhaps more = we want to leave the rest, so change the 1 videocassette to 1 online resource
- 300 field for "1 reel of" deleted and replaced with 300 1 streaming videorecording.
- The RDA fields 336, 337, 338 and possibly the 538 are likely to be incorrect. Delete them.
- For 16mm films, there may be multiple 300 fields. Do these records separately, and replace the 300 field entirely.
- For other formats, adapt as needed.
Other Alexander Street adjustments
- |6880-01 may appear at the beginning of titles. Remove this as it is confusing to users. Use a proper title.
- Some titles may not carry over properly due to non-English characters. These will need to be retrieved from the original OCLC record OR from the video itself and copied in.
- Delete unnecessary d index subject headings with second indicator of 2, 4, 6, or 7
856 updated for WAM using http
Add 0- and .libcat.uafs.edu as shown below. This can be done with a Replace function.
Some vendors may do this for us so changes may not be needed.
>> Records will have a link in the 856:
Example for Alexander Street: |uhttp://0-www.aspresolver.com.libcat.uafs.edu/aspresolver.asp?FLON;1646910|zA streaming video accessible online via Alexander Street; click to view
Adding the |z field is easiest in Sierra (rather than MARCEdit) by adding to the end of a variable field:
|zA streaming videorecording accessible online via [hostvendorname]; click to view
- |zA streaming videorecording accessible online via Alexander Street; click to view
- |zA streaming videorecording accessible online via kanopy; click to view
Change 31 BStatus
Change the 31 BStatus from o to i to make the records visible in the catalog.
Update EDS
These records should be updated normally in EDS, either with an update or by selection in the full update.
For the full update, it's easier to do the rest of the catalog in the Full update, then an update a couple of days later for the streaming videos.
Deleting records
If deleting, use overlay 949 \\$a*recs=b;ov=o;b1=d;b2=f;b3=e;bn=wwwa;
and 583 \\$ayymmdddelete
as in \\$a190328delete
Remember: AVON videos are NOT automatically updated on EDS (Ebsco Discovery Service) so set the Special Field to d for delete and send to EDS before removing from catalog!!!
